7 HR processes

Confidential Financial Services Group

An anonymized Google Workspace automation suite for a regulated financial services operation: seven HR processes, scheduled dispatch, controlled access, audit status, and client-owned documentation.

The delay is usually between the systems, not inside them.

Most teams know something is off. Fewer can name the constraint holding growth back.

  1. 01

Employee onboarding, letters, approvals, and folder access depend on someone repeating the same checklist correctly.

  2. 02

Leads, quotes, invoices, and status updates are copied between forms, spreadsheets, inboxes, and CRMs by hand.

  3. 03

Invoices, purchase orders, contracts, IDs, and bank statements arrive as documents but the operation needs structured data.

  4. 04

AI experiments have no scored test set, permission model, refusal rule, or clear owner when an answer is wrong.

What we automate

Start with one process that has a clear trigger and finish line.

The platform comes after the outcome. We map the work first, then use the smallest reliable system that your team can own.

Employee onboarding

Validated intake, letters, folders, access, checklists, and stakeholder notices.

Lead-to-CRM routing

Capture, validate, enrich, assign, and alert without copying records by hand.

Quote-to-invoice

Move approved commercial data through documents, billing, reminders, and status.

Scheduled reporting

Assemble Monday reports and management summaries from the systems of record.

Document extraction

Turn invoices, contracts, IDs, orders, and statements into validated fields.

Knowledge assistants

Answer from approved internal documents, cite the source, and refuse safely.

One service, two build modes

Deterministic operations first. AI where interpretation earns its place.

Operations automation

Workspace-native and cross-system workflows

Best for onboarding, document generation, approvals, CRM handoffs, reminders, reporting, and other rule-based work. We prefer native Google Workspace or CRM capabilities when they can meet the requirement cleanly.

AI document and knowledge systems

Extraction and answers with an evidence standard

Best when the work requires reading, classifying, extracting, or answering from documents. Every build defines approved sources, expected fields, scored tests, safe refusal behavior, and a review threshold.

Relevant delivery experience includes production AI document and retrieval systems for a regulated Australian mortgage lender. The client remains unnamed and no client materials are published.

Data location first

We document where information enters, moves, rests, and is deleted.

Client-controlled access

Accounts, credentials, files, and workflow ownership stay with your team.

Human gates where risk demands

Financial, legal, people, and customer-facing actions keep explicit approval.

Tested before and after launch

Acceptance cases, scored AI answers, failure tests, and regression checks.

Need lifecycle email, WhatsApp, or SMS campaigns? Those customer messaging systems sit in our Direct Marketing service so the automation page does not duplicate the same promise.

How Business Automation & AI Workflows engagements actually run.

Four phases. Same discipline whether you are in Kathmandu or outsourcing from abroad.

  1. // PHASE_01

    Map

Watch the process run, document every tool and handoff, and find where delay, duplication, and preventable errors enter.

  2. // PHASE_02

    Design

Define triggers, business rules, data location, permissions, human approvals, exception paths, and the metric the workflow must improve.

  3. // PHASE_03

    Build

Connect the systems, implement the smallest production workflow, and test normal, duplicate, missing-data, permission, and failure cases.

  4. // PHASE_04

    Run

Launch with logs and alerts, regression-test every change, fix edge cases, and hand your team the workflow and plain-English operating documentation.

FAQ

Common questions about Business Automation & AI Workflows

Straight answers before you book a call.

We automate repeatable workflows with clear triggers and finish lines: employee onboarding, document generation, lead-to-CRM routing, quote-to-invoice handoffs, invoice reminders, approval requests, ticket triage, reporting, document extraction, and data movement between tools. We start with one bounded process and its exceptions rather than promising to automate an entire business at once.

Yes. When the process already lives in Google Forms, Sheets, Docs, Drive, Gmail, or Calendar, we can often build the workflow inside the client-owned Google Workspace account. That keeps access, files, and operating ownership in the environment the team already uses, without adding a separate automation platform when it is not needed.

Yes. We design document workflows that classify files, extract agreed fields, validate required values, route exceptions for review, and write approved data into the destination system. The scope defines document types, expected fields, accuracy tests, sensitive-data controls, and the human review threshold before production use.

Marketing automation is one subset. It covers lifecycle email, WhatsApp, SMS, audience segmentation, and campaign triggers, which also sit inside our Direct Marketing service. Business automation goes across the operation: sales routing, reporting, approvals, onboarding, service delivery, document handling, and system integrations.

No. Deterministic rules are safer and easier to test for many tasks. We use AI only where interpretation adds value, such as classifying an enquiry, extracting fields from a document, summarizing a record, or drafting a response. Financial decisions, customer-facing messages, and other high-risk actions keep explicit human approval unless the scope supports a different control.

We build a scored question set from approved source material, define what a correct answer and a safe refusal look like, and test retrieval, citations, unsupported claims, and permission boundaries. The same set is rerun after prompt, model, source, or workflow changes so accuracy does not silently regress.

Discovery documents where data lives, which fields contain personal or confidential information, who should have access, what is logged, and whether the workflow should run in a client cloud account or a self-hosted environment. We minimize unnecessary data movement, keep credentials client-controlled where possible, and document NDA or DPA requirements before the build. We do not use client data to train GrowNexus-owned models; any third-party provider retention or training terms are documented for approval.

We choose the platform after mapping the workflow, existing accounts, data sensitivity, integration requirements, and maintenance capacity. That may be n8n, Make, Zapier, native CRM automation, or a small custom integration. We do not force a new platform when the tools you already pay for can do the job reliably.

You do. Production accounts, API credentials, business data, workflow definitions, and documentation stay in client-controlled systems wherever the platform permits it. We document dependencies, failure alerts, and maintenance steps so the workflow is not held hostage by an agency account.

Pricing follows the number of systems, workflow branches, data sensitivity, testing burden, and support requirement. We scope a bounded pilot after the workflow audit, then quote the build and any monitoring period separately. You receive the workflow boundary, deliverables, ownership model, and exclusions before implementation starts.

Often paired together.

Most growth programs combine two or three of these. Start with your biggest constraint.
